How to Stop Double-Booking Yourself

A blank work calendar doesn't mean you're free. Your dentist appointment can be marked Busy and still be invisible to the colleague arranging your next meeting.

The lesson

A blank work calendar doesn't mean you're free. Your dentist appointment can be marked Busy and still be invisible to the colleague arranging your next meeting.

Why your calendar says you're free when you're not

Imagine a Thursday dentist appointment from 2:30 to 3:30 on your personal calendar. A coworker checks your work calendar and books a design review from 2:00 to 3:00. Both events can be marked Busy. The problem is that your coworker can see only one of them. The clash lasts 30 minutes, from 2:30 to 3:00.

Think of work and life as two Tetris boards. An empty row on one board tells you nothing about the other. Before accepting an invitation, look across the calendars that contain your commitments, including the ones nobody at work sees.

Key idea

Availability depends on both what a scheduling tool can see and whether those events count as busy.

What Busy and Free actually mean

The iCalendar standard calls this setting transparency. An opaque event counts in a free/busy search; a transparent event does not. Opaque is the default in the standard. In an editor, the choice may appear as Show as: Busy or Free.

This is separate from sharing an event's details. Google Calendar, for example, offers a sharing level that exposes free/busy time while hiding titles. Someone can know that a period is taken without knowing why. But that only helps for a calendar their scheduling tool can actually see.

Copy the busy time, then keep the copy current

You don't need to share your personal appointment title with colleagues. Put a second event on your work calendar covering the same time and call it Busy. Mark that copy Busy too. Anyone checking that work calendar can now see that 2:30 is taken.

  1. Check the start and end of the personal event, including all-day status when relevant.
  2. Create a generic Busy block on the calendar used to schedule your work.
  3. If the appointment moves or is cancelled, update or remove the copy too.

A manual copy works only while you maintain it. If the dentist moves to Friday but the copy stays on Thursday, the work calendar is wrong in two places. And a Busy block communicates availability; it does not prevent someone from sending you an invitation anyway.

The rule

  1. Check every calendar that contains a commitment before accepting a new one.
  2. Make personal busy time visible on the calendar colleagues check, using a generic title.
  3. Keep each Busy copy in step with its source; review invitations even when blocking is enabled.

Thursday. A coworker sees two o'clock wide open on your calendar and books a design review. You're not free. At two thirty, you're in a dentist's chair. Their app never saw your dentist appointment. It only checks one thing on the calendars it can see: busy, or free.

Calendars share a standard, and in it, an event can carry a setting called transparency. Opaque, the default, means "this time is taken." Transparent means it isn't. Scheduling tools read that, not your plans. Some calendars share nothing else: busy times, no titles. That's a privacy feature. It's also where double-booking starts.

Picture your week as Tetris. Work is one board. Life is another. The dentist is marked busy, but it's on the life board, and your coworker only sees work. So to them, two thirty is an empty row, and a new block drops right in. You do it too, accepting invites without checking the other board.

The fix is to copy busy time across boards. Like the ghost piece in Tetris. For each personal event, put a block on your work calendar that just says "Busy." Same time, no details. Now anyone checking your work calendar sees two thirty as taken. By hand, that works... until the dentist moves to Friday, and the ghost stays on Thursday.

A ghost block only helps if it follows the real one. First, when a clash lands, InstaCal shows you: overlaps Dentist for thirty minutes, both busy two thirty to three, and offers to move or shorten it.

To stop the next one, turn on Conflict Blocking. Pick a source, like Personal, and a calendar you can write to, like Work. For busy events from the past week through the next year, it puts a block titled "Busy" on Work. Only the time crosses. Titles, places, notes and guests stay behind. Move the dentist, and on the next refresh, its block follows. Events marked free, or declined, never cross.

Where InstaCal comes in

See the clash, then set up Conflict Blocking

InstaCal's overlap card can show Overlaps Dentist for 30 min and Both busy 2:30 – 3:00 PM, with options to move or shorten the event. That helps you understand an existing conflict.

For future availability, create and enable a Conflict Blocking rule on Mac, iPhone or iPad. Choose a source calendar and a destination you can write to. New rules start disabled. Enabled rules mirror busy, non-declined events from the past week through the next year, using a generic title such as Busy, the time range and all-day status. Titles, places, notes and guests stay behind.

Moved sources update their blocks, and deleted sources remove them, on the next calendar refresh. This runs on your device, without a scheduling server. In version 3.9.4, displaying both the source and its Busy copy can also show an overlap warning against the copy itself; check which two events the warning names.

FAQ

Common questions

Why am I double-booked when my personal event is marked Busy?
The person scheduling you may see only your work calendar. Busy status on a hidden personal calendar does not make that time visible on work. A generic Busy copy can bridge that gap.
Does a Busy event stop people from inviting me?
No. It marks the time as taken for free/busy checks. It does not block invitations or guarantee that someone checks your availability.
Does Conflict Blocking share my appointment details?
It copies the time range, all-day status and a generic title. Source titles, locations, notes, guests, links, attachments and alerts stay on the source calendar.
When do InstaCal's Busy copies update?
After normal calendar refreshes on your device. A moved source updates its copy and a deleted source removes it. Rules need to be enabled and their destination must be writable.
