Import an ICS file
Open Settings → Calendars → Import & Export and choose Import. Select an .ics file, then review the preview before writing anything.
Choose the destination calendar and inspect duplicate warnings. InstaCal compares imported records with existing events and lets you skip duplicates rather than blindly adding every row.
Confirm only after the destination and item count are correct. Provider rules still apply: a read-only calendar cannot accept imports.
InstaCal also registers itself as an opener for .ics files, so you can double-click one — or choose InstaCal from Open With — and land in the same preview. A file containing events InstaCal cannot read is not rejected outright: the readable ones are offered, and you are told how many were skipped and why, so one bad entry does not cost you the whole file.
Export calendar data
Export Events… and Export to CSV… both open the same selection sheet with their format already chosen, and you can switch between iCalendar and CSV at the top of it.
The sheet starts on the month you are looking at. Turn on All loaded events for everything InstaCal currently has, or set a From and To date. Below that, every event in range is listed with a tick, alongside Select All and Deselect All and a running count. On the Mac, Save… opens a save panel; on iPhone and iPad, Export hands the file to the share sheet.
A CSV carries thirteen columns — Title, Start, End, All Day, Location, Calendar, Account, Notes, URL, Organizer, Attendees, Status and Recurring. Times are written as full ISO-8601 stamps in your own time zone, so a 10 AM meeting reads as 10 AM in the spreadsheet rather than as its UTC instant, and an all-day event's End is the last day it occupies rather than the following midnight.
Availability Sharing also offers a calendar-file format, but that file represents proposed open times rather than exporting the underlying private events.
Print the visible calendar
On Mac, arrange the calendar window, choose the view and filters you want, then use Print. The printout reflects the visible event scope, so apply the correct Calendar Set or Smart Filter first.
Use the system print panel to save a PDF when you want a portable copy without sending an editable calendar file.
Warning: Exported and printed files leave InstaCal’s protected app container. Review them before sharing, especially when event notes or attendee information is included.
