What the Zoom integration does

Connect your Zoom account and InstaCal can create the Zoom meeting for you while you are writing the event. The join link, meeting ID, and passcode are written onto the event itself, so everyone you invite receives them with the calendar invitation.

InstaCal talks to Zoom directly from your device. There is no InstaCal server in between, and Higher Bar Apps never sees your Zoom account or your meetings. See Privacy and Data Handling.

Zoom needs macOS 14.4 or iOS 17.4 and later. On earlier systems the Zoom row stays dimmed.

Add your Zoom account

1. Open Settings → Accounts.
2. Choose Add Direct Account….
3. Under Meeting Services, choose Zoom.
4. Zoom's own sign-in page opens in a system window. Sign in and review the access InstaCal asks for: create, update, and delete meetings, and read your user profile so the account can be labelled.
5. Approve, and the window closes by itself. Zoom now appears in Settings → Accounts.

InstaCal never sees your Zoom password. The authorization token Zoom returns is kept in your device's Keychain and is used only for the requests below.

Add a meeting to an event

Open an event in the editor and look for the video-conference control:

• If Zoom is your only option, it is a switch labelled Add Zoom Meeting. Turn it on.
• If the event's calendar also offers Google Meet or Microsoft Teams, it is a Video Conference picker instead. Choose Add Zoom Meeting.

Save the event. InstaCal creates the meeting in your Zoom account and puts a Join Zoom Meeting block into the event's notes with the join link, meeting ID, and passcode.

Afterwards:

• Move or resize the event and InstaCal updates the Zoom meeting's start time and duration to match.
• Delete the event, or turn the meeting off in the editor, and InstaCal deletes the Zoom meeting so nothing orphaned is left in your Zoom account.
• Join from the event's Join Video Call button in event details, from the agenda, or from the Mac menu bar.

Repeating events are the exception: Zoom is offered only for events that do not repeat. An event that already has a Zoom meeting keeps its meeting even if you later make it repeat.

Remove the integration

1. Open Settings → Accounts and select the Zoom account.
2. Choose Remove Account and confirm.

Removing deletes the stored Zoom token from your device's Keychain, and InstaCal stops offering Zoom in the event editor. Meetings that were already created stay in your Zoom account, and join links already on your events keep working; delete those meetings in Zoom if you no longer want them.

You can also revoke InstaCal from Zoom's side at any time. Sign in at marketplace.zoom.us, then open Manage → Added Apps and remove InstaCal. Do this as well as removing the account in InstaCal if you want the authorization gone from both ends.

If Zoom is dimmed or a meeting fails

• The Zoom row is dimmed in the account list. The device is on a system older than macOS 14.4 or iOS 17.4.
• Zoom asks you to sign in again. Authorizations expire or can be revoked from Zoom. Remove the account and add it again.
• The switch is missing in the editor. Check that the event does not repeat, and that Zoom appears connected in Settings → Accounts.
