Reuse selected event or reminder fields and share proposed open times as text, an image, PDF or calendar file.

Create a template

Open Settings → Templates or save a template from a supported event or reminder. Give it a name that describes the reusable situation, then choose exactly which fields to keep.

An event template can reuse details such as duration, calendar, location, alerts, repeat and availability without forcing you to preserve its original title or date. Reminder templates can keep their selected list, priority, notes and alert fields.

Use a template

Start a new event or reminder and open Templates. Choose one to fill the saved fields, then supply the date, people and any details unique to this occurrence. Nothing is written until you save the new item.

Share availability privately

Open the planning tools from Settings → Calendars → Availability or the calendar’s sharing command. Choose the date range, working hours and calendars that should count as busy. Review the proposed open slots.

Export the result as plain text, an image, PDF or calendar file. The recipient sees only the times you chose to offer; InstaCal does not publish your calendar or create a hosted scheduling page.

Use Find a Time versus sharing

Use Find a Time when you are placing one event inside your own visible calendars. Use Availability Sharing when another person needs several options they can review outside InstaCal.

Tip: Apply the right Calendar Set or Smart Filter before generating availability so personal or project calendars are included only when intended.
